Should You Build the Tool or Keep Renting It?
A simple way to decide when AI should replace a subscription, and when the smarter move is to keep paying for the platform.
AI can help you build almost anything. That does not mean you should.
The wrong lesson from AI is that every tool should be rebuilt from scratch. That becomes its own kind of waste.
Some platforms are worth paying for because they handle risk, compliance, delivery, collaboration, or technical complexity better than a custom tool would.
The better question is not, can AI build this? The better question is, should this specific part of the business be owned by us?
The easiest subscriptions to replace are usually the ones that store simple content, generate repeatable documents, move data between familiar places, or force you into a workflow that is more complicated than the job itself.
If a tool mostly gives you a template, a form, a page, a checklist, or a lightweight workflow, it might be a candidate for a custom system.
When you own the tool, the next improvement is easier. You are not waiting for a platform roadmap. You are building from the way the business actually works.
That does not mean everything needs to become software. Sometimes ownership looks like a better document. Sometimes it is a custom page. Sometimes it is an internal workflow that saves one annoying hour every week.
The value compounds because the business learns to stop accepting friction as normal.
Not every subscription should be replaced. The point is to know which ones are quietly replaceable.
